Faces to Names — Terms of Use
Last updated: October 7, 2026
Faces to Names ("FTN") provides research guidance, educational resources, and project tools that help young Canadians explore remembrance through people, communities, places, and topics. FTN connects evidence-based historical research with a contemporary understanding of peace, freedom, and gratitude.
By creating an account or using FTN, you agree to these Terms of Use and acknowledge our Privacy Policy. If you use FTN through a school or school board, its rules and any agreement between that organisation and FTN also apply.
1. Accounts and eligibility
Provide accurate account information, keep your sign-in credentials secure, and tell us promptly if you believe someone has used your account without permission. Students may create an account only through an invitation provided by an authorised educator.
If you are an educator using FTN with students, you confirm that you are authorised to do so and that your use complies with your school board's digital-tool, privacy, and consent requirements. The participating organisation determines any required notices, permissions, consent, or alternative participation arrangements for students.
2. Educator responsibilities
Educators are responsible for:
- helping students understand safe online conduct and responsible research practices;
- using only the student information permitted by their school board or organisation;
- monitoring student activity and reviewing submissions, including Evidence Summaries and Student Tributes, to ensure that they do not contain unauthorised personal information;
- reviewing submissions before they are considered for publication;
- verifying information to the best of their ability using the evidence students provide; and
- following applicable school-board or organisational requirements.
3. Appropriate projects and resources
FTN projects must remain grounded in contemporary remembrance and FTN's themes of peace, freedom, and gratitude.
Educators may supplement FTN's research pathways with reliable, age-appropriate historical resources that support evidence-based research and the assigned FTN project. Additional resources and activities must remain consistent with the project's purpose and must not redirect it toward unrelated advocacy or political programming.
4. Acceptable use
Do not upload, publish, or ask a student to upload:
- personal information about a living individual unless its use is authorised and necessary;
- images, documents, or other material that you do not have permission to use;
- unlawful, misleading, abusive, discriminatory, or harmful content;
- malware or anything intended to disrupt or gain unauthorised access to FTN; or
- content that violates privacy, safety, academic-integrity, or school-board requirements.
Do not attempt to bypass access controls, impersonate another person, scrape the service at scale, or use FTN in a way that interferes with other users.
Students should not upload personal information about themselves or other living individuals unless their educator has specifically instructed them to do so and the participating organisation permits it. Personal phone numbers and personal contact details are not required for student participation.
5. Student work and publication
Student research is not made public solely because it is submitted. It remains part of the classroom workflow until it passes the applicable educator and FTN review process. Submission does not guarantee publication.
You keep ownership of your original contributions, including drafts, notes, reflections, and finished work. Third-party materials remain subject to their owners' rights.
After you accept these terms and any required authorisation is obtained, you give FTN a non-exclusive, worldwide, royalty-free licence to store, copy, edit, translate, combine, publish, and distribute original contributions as you save or upload them. The permitted purposes are educational, historical, remembrance, and fundraising. FTN may give service providers and partners permission to use contributions only for those purposes and under the same privacy and removal restrictions.
Public sharing and external reuse still require educator and FTN review, source and permission checks, and any required authorisation.
Contributions are published without a student's name. That is the default and, at present, the only way FTN publishes them. FTN does not currently offer public student attribution, badges, leaderboards, or any other feature that identifies a student publicly.
If FTN offers attribution in future, it will be optional. Attribution is not required to take part, to complete research, to receive educator feedback, or to have approved work published, and FTN will provide a non-identifying alternative such as anonymous credit or a class or school designation. A student's name or other identifying information will be published only where the participating organisation permits it, in the form that organisation has authorised, and where the required consent has been obtained from the student and, where applicable, a parent or guardian. That consent is separate from accepting these terms — agreeing to these terms is not consent to public attribution. If the consent is withdrawn, FTN will remove or change the attribution on the request of the participating organisation, or of the student or their parent or guardian where there is no participating organisation, within the same 30 days the Privacy Policy allows for a deletion request. The contribution itself may remain published.
Permission continues after graduation or account closure, subject to applicable law and the removal process below. Earlier contributions remain subject to the permissions under which they were provided unless you validly authorise additional uses.
You, a parent or guardian acting with appropriate authority, or your participating organisation can request removal of your original work, your identifying information, or both, including after publication. Contact your educator, your organisation, or . We remove the requested work from publication and further reuse and delete the relevant copies under the Privacy Policy. You may also ask to remove only your public attribution.
After removing a contribution, FTN may retain historical facts supported by identified source evidence and reviewed by an educator, together with their source references, where the participating organisation's agreement permits it. FTN may also retain independently written accounts based on those facts. Retained material must not identify the student or reproduce protected expression from the removed work. Third-party source rights continue to apply.
FTN may return content for revision, flag it for additional review, withhold it from publication, correct it, or remove it if it needs more evidence, contains unauthorised personal information, violates these terms, or may cause harm. Public content may also be corrected when new evidence becomes available.
6. Automated research review
FTN may use an automated research assistant to check historical claims against available authoritative sources and prepare an evidence report for an educator. The educator reviews the supporting evidence and unresolved findings before approving work. The Privacy Policy explains the information involved and the providers that process it.
7. Moderation and account action
FTN may mark, hide, reject, or remove content, or restrict an account, when reasonably necessary to protect users and the service, comply with law or a participating organisation's instructions, or address content that violates these terms. Where practical, we will explain the reason.
8. Research sources and copyright
FTN links to public archives and other third-party research sources. Those services have their own terms and privacy practices. FTN does not control their content and cannot guarantee that a source is complete, current, or error-free.
Historical records and images may belong to archives, government institutions, families, or other rights holders. Users must follow the source's conditions and provide an image credit or citation when requested. Access through FTN does not give permission to copy, modify, or share material elsewhere.
9. Availability and educational information
We work to keep FTN available and its information accurate, but the service and historical source material may contain errors or become unavailable. FTN is an educational and remembrance resource; it is not a substitute for checking primary sources or obtaining professional advice.
10. Changes to these terms
We may update these terms as FTN evolves. Where required, we will notify participating school boards before a material change takes effect. The last-updated date appears at the top of this page.
